Picture the evening quoting usually takes. It is nine o'clock, the kitchen table has a laptop on it, and there are four quotes to write from photos, voice notes and a text that says "how much for the back garden". Two quotes from last week never got a reply, and nobody chased them.
Software can take most of that evening off you. Not all of it, and the part it should not take is the one people most want it to.
What does automating quotes actually mean?
It means four separate jobs, and most guides blur them into one.
A quote has a beginning, where the customer tells you what they need. A middle, where you work out the price and turn it into a document. And an end, where you wait for a yes, chase the silence, and turn the yes into a booked job. The paperwork on either side of the price can run on its own today. The price in the middle is a judgement.

Collecting the details
A request form on your website asks the same questions every time, so you stop piecing jobs together from voice notes. The fields are in a checklist further down. The form's real job is to make sure you never have to message back asking for the address.
Building the document
Quoting software keeps your price list and your standard descriptions, so a quote is assembled rather than typed. Tradify's quoting page describes templates where "you can add a preloaded description and line items to your templates, to save you re-entering information", and lets you import your suppliers' price lists.
Chasing the silence
This is the automation that pays for itself fastest, because chasing is the job that slips when the week is full. Jobber's page on turning quotes into booked jobs says it "can send automated quote follow-ups on unanswered quotes so they don't get lost in someone's inbox". Tradify offers the same thing as quote reminders. One reminder, a few days after the quote goes out, is enough.
Turning a yes into a booked job
The same Jobber page says customers can approve a quote online "with a single click", you can take a deposit in the same step, and the approved quote becomes a job "carrying over all the line items, pricing, and customer details". No retyping, no lost address.
Which part should stay with me?
The number, for any job you have not seen.
A price calculator can only see what the form told it. It cannot see the rotten joist under the bathroom floor, the fuse board from 1978, or the garden that is twice the size the customer thought. And once a price is in writing and the customer has accepted it, they will hold you to it. A fast quote with the wrong number on it is worse than a slow one with the right number, because you either do the job at a loss or have an awkward phone call that costs you the review.
So the honest version of instant quoting is a range, not a price, for anything unseen. "Most boiler replacements like yours come in between these two figures. We confirm the exact price after a visit." That gives the customer an answer tonight and keeps the final number yours.
None of the quoting tools we read claims to price an unseen plumbing or electrical job on its own. The instant calculators you can put on a website are almost all sold for jobs with a fixed menu, which is the next question.
When does an instant quote calculator make sense?
When the job is the same every time and the price follows a rule you already use.
A standard home clean priced by bedrooms and bathrooms. Lawn mowing priced by garden size. A boiler service at one fixed price. For work like that, a calculator on your website that does the arithmetic from your own numbers is a real advantage, because the customer gets a price while they are still looking. How fast should a quote go out?
Faster than most businesses manage, and the owners' own numbers say so.
Jobber, which sells quoting software, surveyed 1,050 home service business owners in cleaning, HVAC, roofing, plumbing, electrical, lawn care, tree care and general contracting in December 2025. Its 2026 Home Service Trends Report found that 69% win more than half the quotes they send. It also found that 60% reply to leads the same day and only 20% reply within the hour.
Read those two together. Most owners are good at winning the job once the quote lands. They are slow getting it there. That is the gap automation closes: an instant acknowledgement and, for fixed menu work, an instant price, while you are still on the last job. What should my quote request form ask?
Only what you need to price the job or book the visit. Every extra field loses people.
- Name, and the phone or WhatsApp number they want to be reached on
- The address or postcode of the job
- What they need, in their own words
- Photos of the job, where a photo would save you a visit
- When they need it done
- For fixed menu work, the few numbers your price depends on, such as bedrooms or garden size

Do I need software, or can I start with what I have?

A quote template in the document tool you already use, a saved reply with your request questions, and a calendar reminder three days after each quote goes out will get you most of the benefit for nothing. Quoting software such as Jobber or Tradify earns its monthly fee when you send enough quotes that the reminders and the retyping add up to hours. If you are in Lagos, check two things before you pay for any tool: that it can send quotes where your customers actually read them, whether that is WhatsApp or email, and what currency it bills in.
