What do AI tools cost a small business each month?

About $20 a month for one owner. The bill grows with seats and automated steps, not with the AI itself.

A dark receipt-style card listing a small business AI bill: one assistant seat at $20, five seats at $100 to $125, an automation plan from $19.99, with the line seats and steps are the bill.

TL;DR

For one owner, about $20 a month buys a paid AI assistant, and the free plans cover a lot. A five person team using one assistant and one automation tool pays roughly $120 to $160 a month. The bill grows with the number of seats and automated steps, not with how clever the AI is.

What does one AI assistant cost a month?

A paid AI assistant costs one person about $20 a month in 2026. That is the price of Claude Pro on Anthropic's own pricing page billed monthly, or $17 a month if you pay for the year up front ($200). The bigger personal plans start at $100 a month, and almost no small business owner needs them.

Before you pay anything, use the free plan for two weeks on real work: replies to customers, a quote, a summary of a long email thread. If you never hit the limit, the free plan is your answer. If you hit it every day, you have just learned the $20 is worth it.

What does a team of five pay?

A team plan is priced per seat, so five people pay five times. Anthropic lists a Claude Team standard seat at $25 a month, or $20 on annual billing. OpenAI's ChatGPT Business is the same shape: Let's Data Science reported in August 2026 that standard seats "remain $25 monthly or $20 with annual billing". OpenAI's own pages would not open for me to check it directly, so I am giving you the report.

Here is the sum, from those prices. Five standard seats cost $100 to $125 a month. Add one automation tool on its smallest paid plan, $19.99 to $29.99, and a five person business pays roughly $120 to $160 a month for AI. That is my arithmetic, not a survey, and it is the number most roundup pages skip.

What makes an AI bill jump?

Two meters: seats and steps. The AI is the cheap part. The seats and the steps are what the invoice counts.

Premium seats cost five times a standard one

Both Anthropic and OpenAI now sell a premium team seat for heavy users at $125 a month, or $100 on annual billing. Five of those is $500 to $625 a month for the same five people. Give a premium seat to the one person who hits the limit every day, not to everyone because it sounds better.

Automation tools charge for every action

Zapier's own help page puts it plainly: "A task is any successful action that runs in Zapier." The trigger is free. Each thing it does after that counts. A new enquiry that gets added to a sheet, tagged and sent a reply is three tasks, every time. The free plan gives you 100 a month, the cheapest paid plan 750.

Go over, and Zapier's pricing page says what happens: with pay per task switched on, extra tasks cost 2.5 times the normal rate on a monthly plan and 1.25 times on a yearly one. Switched off, your automations stop until next month. Count the steps before you choose the plan, not after the first busy week.

Should I pay monthly or for the year?

Pay monthly for the first two or three months, then switch to yearly for the tools you still open every day. Annual billing saves about 15% to 20% on the assistants ($17 against $20, $20 against $25) and about a third on Zapier's smallest plan. But a year is 12 months of paying for a tool you might stop using in month two.

What do AI tools cost in Nigeria?

Some vendors now price in naira. When I opened Google's AI plans page from Lagos on 2 November 2026, it listed Google AI Plus at NGN 7,700 a month, AI Pro at NGN 28,500 and AI Ultra from NGN 89,000. Anthropic and Zapier showed dollar prices, which a Nigerian card pays at the bank's exchange rate on the day, plus any card charges.

For a Lagos business, that difference matters more than which model is smartest. A naira price stays where it is when the exchange rate moves. Check the page from your own country before you budget, because the number on a roundup written in London or Texas is not the number your card will be charged.

Which AI tool should a small business pay for first?

One assistant, for the person who writes the most. That is the cheapest change that saves real hours: drafts of replies, quotes and posts. Automation comes second, once you know which job repeats every day. I go through how to choose that job in what a small business should automate first, and which jobs are safe to hand to AI at all in the repetitive jobs AI can do for a small business.

I run my own business this way. The articles in this Lab come out of a system I built with Claude Code, and the rule I hold it to is the same one I give clients: pay for the thing you use every day, and nothing else yet.

When is a custom build cheaper than more subscriptions?

When the same handful of steps run hundreds of times a month. Past the 2,000 task plan, Zapier costs $73.50 a month billed monthly, and it climbs from there. A small custom integration has a build cost up front and a tiny running cost after. I compare the two in Zapier or a custom integration. Before either, check whether the job belongs in a CRM you already pay for; what a CRM is for a five person business covers that.

If you want the steps counted and the cheapest setup built for you, that is the AI and automation work I do. The offer is a free 30-minute call, no pitch, and 20% off if we build, booked at cal.com/growveloper/30.

Count the people, count the steps, then buy one thing for a month.

Often, for one person. Use it on real work for two weeks. If you never reach the daily limit, stay free; if you reach it every day, the paid plan at about $20 a month is worth it.

For one owner, $0 to $20. For a team of five on one assistant and one automation tool, roughly $120 to $160 a month at November 2026 prices. Premium seats or busy automations can push it to several hundred.

Zapier counts every action a Zap takes, not the trigger. A Zap with three actions uses three tasks each time it runs, so a busy month can pass the plan. With pay per task on, the extra tasks cost more than the plan rate; with it off, the Zaps stop.

Yes. The assistants save about 15% to 20% on annual billing, and Zapier's smallest plan about a third. Pay monthly until you know you will keep the tool, then switch.
